"The Dean shall be the chief executive officer of the Chapter. The Dean shall preside at all meetings of the Chapter and the Executive Committee, and shall be an ex officio member of all standing and special committees of the Chapter." (From the American Guild of Organists Bylaws)
1. LEADERSHIP
A. Monthly Executive Committee meetings
1. Schedule regular meetings
2. Prepare agenda. Consult with Secretary for inclusion of all matters known in advance that are agenda action or discussion items
3. Preside at meeting
4. Forward materials from National and appropriate resources to various committees and chairs
5. Co-sign checks as needed
B. Monthly Membership Meetings
1. Include donor list for concerts which include printed programs
2. Preside at business portion
a. Announcements
b. Committee Reports
c. Introduction of presenters/guests/new members
d. Supervise voting on issues from the Executive Committee which require Chapter attention
3. Preside at program portion
a. Welcome guests
4. Announce next meeting
5. Mail "thank you" letters to hosting parties; this responsibility can be shared with or designated to the Sub-Dean and/or Secretary
2. APPOINTMENTS
Appoint Committee Chairs, under the advisement of the board.
3. GENERAL
A. Write monthly column (approx. 350 words), and send pertinent information to Pipeline editor.
Items to include: The caterer needs three full day's notice of the FINAL count, i.e., Thursday morning for a Sunday meal. (ãThe deadline for reservations is 11:59 p.m. on . . .ä)
B. Serve as ex-officio member of all standing and special committees
C. Maintain contact with committee chair and officers. If anything is left undone by any member of the Board, the Dean is held responsible.
D. Write introductory article for chapter Yearbook and give any content changes (from Executive Board) to Yearbook editor.
4. PROFESSIONAL OUTREACH
A. Represent Chapter at National and Regional Conventions and other community organizations.
5. Prepare a report of annual activities to be presented orally at the last Board meeting and the written copy to be filed by the Historian.
6. New officers/committee chairs should be announced in the June Pipeline. Also in the June issue, alert members that renewal forms will be coming separately via first class mail and include deadline date for renewals.
7. June 1 - Invite old/new board members to transitional meeting.
8. June 15 ö Officer Report Form Due (Online) ö include 2 additional email addresses to receive a copy: Region IX Councillor and Grand Canyon District Convener.
9. August - Mail yearbooks before Opening Service
